Administrative Specialist

Scope: The Administrative Specialist shall be responsible to support engineering projects with a variety of administrative tasks in the areas of coordination, communication, reception & hospitality, clerical support and technical/digital support. The administrative specialist will manage office schedules, training schedules and status, travel arrangements, special support for organizational events, supporting business and funding tasks, customer service tasks, office correspondence, and digital organization of office documents.

Responsibilities (Not all encompassing):

  • Support the Aviation Applied Technology Directorate Office (AATD), to create, type, transmit, file, store, print and retrieve documents with no or with very few, but quickly correctable, errors. Typical typing at words per minute rates for an Administrative Specialist are expected and use typical Microsoft and Adobe software.
  • Interface with executive-level US Government and Contractor personnel via electronic media and face-to-face on behalf of the Director. The contractor shall demonstrate the appropriate level of maturity and poise in order to interact with these senior levels of government and industry in place of the Director.
  • Plan and set-up virtual or face-to-face meetings for the Director. This includes planning and coordinating transportation, managing and communicating changing events, interfacing with other Headquarters personnel and retrieval of personnel and items in support of those meetings. Ability to use typical electronic communication devices such as multi-line phones and cell phones are expected.
  • Accurately coordinate and schedule the Director’s day-to-day meeting schedule and be able to manage a dynamic and frequently changing set of events to always keep the Director on-time and appropriately informed and situationally aware.
  • Provide other typical administrative support as required.

Education and Requirements:

  • High school diploma or equivalency is required.
  • Strong knowledge of Microsoft Office and Adobe required.
  • Secret or Interim Secret security clearance is required (must be a US citizen, be in good standing financially with the IRS, and maintain a clean criminal background).
